We are seeking an Office & Administrative Services Manager  who is energized by challenges and committed to delivering exceptional administrative, executive, and technical support. This role is essential in supporting the team and guests, and in helping our operations run smoothly every day.

Administrative and executive support responsibilities will include, but are not limited to: 

  • Greet and screen visitors / vendors in a professional manner.
  • Perform open / close office duties daily.
  • Cultivate and manage existing vendor relationships and research new vendor quotes as needed.
  • Coordinate scheduling of individual calendars and on-site facilities / conference rooms.
  • Plan or finalize arrangements for in-office / offsite meetings, lunches, social and celebratory events. Attend events when necessary to ensure the schedule is maintained.
  • Receive, sort, and distribute incoming mail / courier deliveries and prepare outgoing mail / deliveries.
  • Maintain kitchen areas, printer areas, supply/storage rooms, conference rooms, and reception area.
  • Inventory and stock office, postage, kitchen, and miscellaneous supplies.
  • Research and reserve travel arrangements.
  • Manage corporate documentation (filing, printing, binding, etc.).
  • Support the People Operations and Accounting team with various admin needs as requested.
  • Prepare and distribute companywide correspondence in paper and online formats.
  • Perform varying degrees of data entry and other clerical duties.
  • Run outside errands as necessary.
  • Provide general office and special project support as needed, ranging from routine to complex. 
  • Manage IT / phone vendor relationships and serve as primary contact for service tickets.
  • Provide initial technical support for conference room equipment, office printers and phones.
  • Maintain thorough inventory of technical / print equipment and supplies.
  • Manage general office and special projects as needed, ranging from routine to complex.

People Operations administrative services:

  • Manage pre-employment documentation and paperwork.
  • Send candidate and employee communications (welcome email).
  • Initiate new hire onboarding.
  • Send benefits enrollment emails.
  • Responsible for maintaining employee files.
  • Generate and manage employee promotion/change forms.
  • Create termination documentation and manage the employee offboarding process.
  • Assist in launching and managing the Annual Performance Review Cycle.
  • Assist the Director of People Operations with special projects and various employee programs.

Qualifications:

Candidates should have prior experience working in an office setting and demonstrated proficiency in the responsibilities outlined above.   

  • Minimum 5 years related work experience in a corporate setting.
  • PC, overall technical proficiency, and familiarity with MS Office required. 
  • Ability to operate office equipment including printers, scanners, fax machine, etc.
  • Professional demeanor/appearance and ability to interact with individuals at all levels.
  • Absolute integrity, detail-oriented, energetic, and strong interpersonal/written/oral communication skills.
  • Strong work ethic and excellent attendance.
  • Thoroughness and accuracy when completing tasks is required.
  • Must take responsibility for managing time effectively to ensure the office receives quality support.
  • Must be able to think quickly to remedy issues or delays and know when to escalate issues.
